Privacy Policy

Scope-Scan.AI ("we," "us," "our") provides tools that help property inspectors, contractors, and renovators generate scope-of-work reports from 360° photos of buildings. This Privacy Policy describes what information the Scope-Scan.AI Capture mobile app and the scope-scan.ai website collect, how we use it, and your choices.

1. Information we collect

We collect only what we need to provide the service.

Account information

When you create an account or sign in, we collect your email address and a password (stored as a secure hash, never in plain text). If you subscribe to a paid plan, our payment processor collects your billing information; we do not store your credit card number.

Property scan data

When you use the app to capture a property inspection, we receive and store:

• The 360° photos you capture with your Ricoh Theta camera and upload
• The street address you enter for the property
• The room labels you assign to each photo (e.g. "Kitchen", "Living Room")
• If you choose a Geo Scan, the GPS coordinates at the time of capture, embedded in the photo's EXIF metadata and sent as separate coordinate fields

These are used to generate the scope-of-work report you requested. We store your scans on our servers so you can access, review, and download your reports.

Device and usage information

The app stores a small amount of information on your device (in the platform secure store) so you don't have to sign in every time. Our servers receive standard technical information with each request (IP address, request time, platform type — "ios" or "android") for security and troubleshooting.

We do not use any third-party analytics, advertising, or tracking SDKs in the mobile app.

Location

The app requests location permission for two purposes only:

• "Use my location" address autofill — a one-time reverse-geocoding of your current coordinates to street/city/state/ZIP, so you don't have to type them.
• Geo Scan mode — recording the coordinates at each 360° photo capture, so the report knows where each room is on the property.

Location is only accessed while the app is in use. We never track your location in the background.

2. How we use your information

We use the information we collect to:

• Authenticate you when you sign in
• Generate the scope-of-work report you requested from your uploaded scan
• Let you access, review, and download your reports
• Improve our AI models that power the service (see Section 3 below — this is important, please read it)
• Provide customer support if you contact us
• Keep the service secure and troubleshoot problems

We do not sell your personal information or your reports to third parties.

3. Use of scan data to train our AI models

This is important. Please read this section carefully.

Scope-Scan.AI uses artificial intelligence models — computer vision models that recognize rooms and building features, and language models that generate scope-of-work reports — to power the service. Like all AI systems, our models improve with more training data.

Your consent to have your scan data used for training our AI models depends on which tier of the service you use:

Free tier (Geo Scans)

Free-tier scans are used to train our AI models. By using the free tier of Scope-Scan.AI to capture a Geo Scan, you agree that we may use the following data from that scan to train and improve our AI models:

• The 360° photos captured during the scan
• The GPS coordinates and address associated with the scan
• The room labels you assigned to each photo
• Metadata about the scan (timestamps, camera type, scan type)

In exchange, we provide the Geo Scan feature at no cost. This is the trade — free access to the service, in exchange for the use of that scan data to improve the AI. This is a standard arrangement in the industry (companies like Zillow and Redfin operate similar models with user data). If you are not comfortable with this trade, please do not use the free tier — use the paid tier instead, or another service.

Paid tier (Scope Scans and Save Scans)

Paid-tier scans are NOT used to train our AI models by default. When you subscribe to a paid plan, your scans are used only to generate the reports you requested, not to train our models.

We may offer paid users the option to voluntarily opt in to contribute scans to model training (for example, in exchange for a discount or credit). This is entirely optional. Paid users must affirmatively opt in; we will not enroll paid users in training-data collection without their explicit consent.

What our models are used for

Data used for training goes into models that we own and operate for the Scope-Scan.AI service — specifically, computer vision models for room and feature recognition, and language models for scope-of-work generation. We do not sell, share, or license this data to third-party AI companies. We do not use your data to train models unrelated to the Scope-Scan.AI service.

4. Who processes your data

We use the following service providers, who process data on our behalf:

• Cloudflare, Inc. — network security and access control (IP addresses, request metadata)
• Our hosting infrastructure — encrypted storage of your account, scans, and reports, located in the United States
• Payment processor (if you subscribe to a paid plan) — collects billing information directly; we do not store it

We do not share your data with advertisers, data brokers, or other third parties for their own purposes. We do not share scan data with third-party AI companies for their model training.

5. Photo library and camera access

The app connects to your Ricoh Theta series 360° camera over its local WiFi and reads 360° photos from the camera. It does not access photos in your phone's built-in Photos library or camera roll.

The app writes captured 360° photos to a folder on your device ("Scope-Scan-Gallery") so you can review them before uploading and access them later.

6. Data retention

• Account data is retained for as long as your account is active.
• Scans and reports are retained for as long as your account is active so you can access them.
• Free tier scan data (in training corpus) is retained as part of our proprietary training dataset indefinitely, in accordance with the Free tier terms disclosed in Section 3. This data is retained even after you delete your account, though we remove the link between the data and your identity.
• Paid tier scans are deleted along with your account (subject to the deletion timeline described on our Account Deletion page).
• If you delete your account, we delete your account data, personal identifiers, and Paid tier scans within 30 days, except records we are required to retain by law and Free tier training data (which is de-identified but retained in the training corpus).

7. Your choices and rights

You can:

• Access or update your account information by signing in
• Delete your account and remove your personal identifiers by emailing support@scope-scan.ai (see the Account Deletion page and the training data note in Section 3)
• Turn off location permission for the app in your device Settings at any time (Geo Scan and "Use my location" will stop working, but the app still functions)
• Sign out from the account menu inside the app; sign-out clears your credentials from the device but does not delete your account

Depending on where you live, you may have additional rights under laws such as the California Consumer Privacy Act (CCPA) or the EU General Data Protection Regulation (GDPR), including the right to request a copy of the data we hold about you, the right to correct inaccurate data, and the right to object to certain processing. To exercise these rights, email support@scope-scan.ai.

8. Security

We use industry-standard security practices to protect your data, including encryption in transit (TLS) and at rest, secure credential storage on your device (Keychain on iOS, encrypted shared preferences on Android), and access controls on our servers. No system is perfectly secure; if we ever discover a security incident that affects you, we will notify you as required by law.

9. Children

Scope-Scan.AI is a professional tool for adults. It is not intended for use by children under 13, and we do not knowingly collect personal information from children under 13.

10. Changes to this policy

If we make material changes to this policy, we will update the "Last updated" date above and, if the changes are significant, notify you by email or in the app.
